The department

The commercial department provides support to all departments within the business during the entire project life cycle. The focus of the department is cost management, subcontractor procurement, valuations, variations and maintaining our systems and procedures. 

 

The role

The successful candidate will provide administrator support to the following tasks; 

  •  Procurement – send out enquiries prepared by the surveyors 
  • Package proposal sign off’s – chase and scan / save 
  • Subcontract orders – compile orders from tender packs, signoffs, minutes, etc  
  • Sending out of minutes, contracts, warranties and order packs 
  • Management of document signing with Thakeham directors 
  • Key commercial team diary management  
  • Matrix loading on to COINS 
  • Key meeting preparation work for documentation required 
  • Payment support 
  • Sharepoint administration for surveyors 
  • Management of reporting calendars and key dates 
  • Taking minutes of meetings as required 
  • Chasing supplier quotes 
  • Raising Coins orders 
  • Amending orders following invoice queries 
  • Emailing/Phoning suppliers with day to day enquiries from sites 
  • Compiling tenders/enquiries on Sharepoint to issue to suppliers 
  • Provide wider secretarial and reception cover for sickness/annual leave
  • Answer overflow and team calls, transfer calls, take messages

 This list is not exhaustive. Tasks will be allocated to reflect increasing levels of development and experience. 

 

The required skills

  • Good knowledge of MS Office (Word, Excel & Outlook)  
  • Good attention to detail and organisational skills  
  • Effective time management skills  
  • Professional approach with high degree of discretion  
  • Team player with excellent communication skills  
  • Willing to learn, be flexible and get involved with a wide range of tasks  
  • Ability to work on own initiative and generate solutions
